CodeTwo Email Signatures 365 is a software as a service (SaaS) solution operating on Microsoft Azure for the central management of email signatures, disclaimers, and auto-replies in Microsoft 365 environments. The system integrates with Microsoft Entra ID to populate signature templates with user data and authenticates via OAuth 2.0 with support for multi-factor authentication. It provides three deployment modes: a server-side mode that processes emails from any client using Exchange Online transport rules, a client-side mode that utilizes an Outlook Web Add-in for signature insertion during composition, and a combo mode. The service allows for data residency selection in specific Azure regions and does not store email content.
Management is performed through a web-based administration panel containing an HTML editor and a rule-based engine to apply signatures based on conditions such as sender, recipient, keywords, and schedules. The system supports different signatures for initial and subsequent emails in a conversation and offers role-based access control to delegate management tasks. Additional technical capabilities include an autoresponder function, support for hybrid environments and digitally signed messages, a feature to synchronize server-side signatures to users' Sent Items folders, automated one-click CSAT surveys, and URL tagging for web analytics.
